Shopify Flow is Shopify's automation tool that allows you to build workflows based on events that occur in your store. You can use it to automatically send emails, update data, or trigger actions without manual intervention. The example workflows below use tags added by Dibs as conditions to determine when the automation should run.

1. Payment Due Email - Balance Due on Fulfillment
The Payment Due Email – Balance Due on Fulfillment workflow automatically sends a payment reminder to customers when their outstanding balance becomes due after their order is fulfilled. When fulfillment occurs on a preorder or backorder (LB-Preorder or LB-Backorder), it sets the payment balance as due, which fires this workflow. Shopify then checks that the balance is still unpaid and sends an order invoice email to the customer prompting them to complete their remaining payment. This ensures customers are notified right after the order is marked as fulfilled in Shopify.

2. Payment Due Email - Post release holds
The Send Invoice When Last Fulfillment Hold Is Released workflow ensures customers receive their invoice at the right moment — when their preorder or backorder is ready to be fulfilled. When the final fulfillment hold on an order is released, the workflow waits 30 seconds to allow any remaining holds to settle, then confirms the order is still unfulfilled, unpaid or partially paid, and hasn't already been invoiced. If all conditions are met, it tags the order with LB-InvoiceSent to prevent duplicates and immediately emails the customer their invoice. This automation eliminates manual invoicing and safeguards against sending the same invoice more than once.

3. Hold Unfulfilled Fulfillments on Preorder Orders
This workflow solves a common mixed-cart fulfillment problem. When a customer places an order containing both an in-stock item and a preorder or backorder item, Shopify may allow the in-stock item to be fulfilled immediately while the preorder or backorder item remains on hold.
This workflow prevents that by automatically placing a hold on all open (unfulfilled) fulfillments as soon as the order is created. This keeps the entire order on hold until the preorder or backorder item is ready, ensuring that customers receive their complete order in one shipment rather than separate deliveries.
